The Undergraduate Services Office strives to deliver services and support to all undergraduate students in the Faculty of Engineering. We are here to assist in all matters of student life and will help with any concerns our students may have. The Associate Dean (Undergraduate Studies) and Academic Counsellors are accessible through this office and are committed to help in the success of our students. Responsibilities


The Summer Student II - Smart Start & Registration Support will help facilitate the running of the Smart Start courses for incoming and progressing students. The incumbent will support student registration by providing instructions for registration processes in the Faculty of Engineering, specifically assisting the second year students through the registration process. The summer student will also support the the Wellness Counsellor in developing online, hard copy and presentation materials for the upcoming academic year to support Engineering student wellness. The Summer Student will:
  • Focus on INCOMING student SmartStart course (SmartStart I) and/or PROGRESSING student SmartStart course (SmartStart II)
  • Course site maintenance and set up
  • Learner engagement; help answer student feedback/inquiries via LMS messages and forums
  • Provide and/or coordinate student body input
  • Moderate chat in synchronous sessions
  • Work with Student Learning Coordinator, 1st year instructors and other stakeholders to create/update/support WE SmartStart modules
  • Collect on-going feedback and suggestions for improvements to course content from student participants and faculty members
  • Help produce reports on student engagement and impact of course on academic success
  • Provide registration support for students progressing into second year. Answer emails and set up course registration info sessions
  • Work with the Engineering Wellness Counsellor to develop wellness materials for the 2023/2024 academic year

Qualifications

Education:
  • 2 years of post-secondary education, and be a student returning to studies in the fall
Preferred:
  • Working towards undergraduate degree in Engineering

Experience:

  • Previous directly related experience
Preferred:
  • 1 year administrative experience
Skills, Abilities & Expertise:
  • Written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Demonstrates integrity and works in accordance with Western’s policies and procedures
  • Ability to multi-task and maintain an organized and effective personal work environment
  • Computer skills with Microsoft Office, with the ability to learn and use new software programs as required
  • Experience building or maintaining websites and web content is an asset
  • Personable and courteous in working relationships with colleagues, students and the public
  • Ability to work independently and effectively as a member of the team to achieve department goals
  • Ability to work in a manner that is compliant with confidentiality requirements as applicable
