Northern Gateway Public Schools invites applications for a Full-time Office Assistant to the Director of Maintenance position. This position is located in Sangudo, AB.
Successful Candidate Responsibilities and Duties:
Budget Framework
- Prepares and assists with submissions and requisitions of bids/tenders within policy guidelines
- Submit bids to Alberta Purchasing Connection and other tender processes
- Assist with preparation and data entry of BLIMS(Building Land Infrastructure Management System) 3 Year and 10 Year Capital Project submissions and updates to Alberta Infrastructure
- Price out renovation/project costs for schools with the Director of Maintenance
- Invoice schools for individual projects on various items such as furnishings, renovations, electrical and mechanical site budgeted work
- Ensure congruent affiliation with Alberta Infrastructure and Alberta Education
Facilities Framework
- In conjunction with or in the absence of the Director of Maintenance and Occupational Health Coordinator, delegate emergent maintenance requests to maintenance staff through Public School Works
- Order maintenance and building materials, supplies, equipment within budget guidelines including custodian supplies for the entire school division
- Maintain an inventory of tools and equipment
- Assist and/or prepare and present monthly maintenance reports for the Board
Administrative
- Organizes and maintains all records, security, utility expenditures for each location,
- Maintains and promotes appropriate communication
- General office duties including type, transcribe and compose correspondence
- Create/Submit career ads
- Arranges meeting spaces, travel arrangements, accommodation for Director of Maintenance for various meetings, workshops and conferences
- Assist with the maintenance of all security for the Division, use of programs such as Aurora Keyscan and Compass 2.0
- Maintain schedules of all maintenance personnel
- Maintain vehicle/building insurance, fleet schedule, capital purchases/sales
- Acts as reception for NGPS Support Building in Sangudo
- Orders and maintains office supplies as needed
- Knowledge of Public School Works, Hour Zero, Atrieve, all Adobe Products, MS Word/Excel and Google Docs
- Distribute monthly water samples
- Manage the UFA Fuel Link Cardlock program
- Attend NGPS Committee meetings as required
- Administrative duties as assigned by the Director of Maintenance or the Occupational Health and Safety Coordinator
Successful Candidate Requirement/assets:
- Knowledge of office administration and procedures
- Problem solve complex matters through a review of related information to develop and evaluate options and implement solutions
- Effectively communicate with stakeholders – NGPS, NGPS publics, government and support agencies – in person, in writing, via telephone or email
- Understanding of NGPS Emergency Plans
- Basic accounting and knowledge of invoice entry through Atrieve and Filemaker Pro
- Willingness to work extra hours as required to meet deadlines or to respond to emergencies
- Knowledge of Public School Works, Hour Zero, Atrieve, all Adobe Products, MS Word/Excel and Google Docs
Qualifications:
- Minimum High School Diploma
- Proficient in Microsoft Excel and other relevant computer software
- Valid First Aid with CPR and AED
