Our business is growing and moving fast so our team is looking for a Medical Office Administrator/ Medical Assistant for Advanced Laser Skin Clinic who can work for us on a part-time/full-time basis.
Responsibilities include but are not limited to:
Medical Assistant:
- Coordinating the flow of patients in the treatment rooms to ensure efficient use of the facility and the Technician’s and Nurse’s schedule
- Ensuring proper documentation (i.e., patient information and forms are accurate in client’s chart) and when necessary, liaising with Medical Laser Technician and/or Nurse for appropriate patient documentation
- Preparing clients for treatments and services, including but not limited to, taking before and after pictures, applying numbing cream to treatment area(s), providing ice packs for cooling, and record information on client’s chart appropriately
- Collecting and reviewing client medical history and information
- Preparing treatment rooms with necessary medical supplies
- Downloading client pictures via Insight software and in iCloud
- Perform any tasks and duties as assigned from time to time by management in a timely and accurate manner.
Medical Office Responsibilities:
- Checking in patients (reception/registration) and checking out clients (scheduling follow ups and next treatment appointments)
- Adhere to Advanced Laser Skin Clinic’s Administrative Policy Manual
- Management of all patient appointments appropriately and Technician’s and Nurse’s schedules as per Insight software system
- Completing all daily tasks such as
- Ensuring client consent forms are completed and signed
- Turning on lasers prior to each treatment accordingly
- Monitoring skincare product inventory
- Assist in housekeeping duties; cleaning all treatment rooms and facilities as needed
- Liaising with Medical Laser Technicians and Nurses for appropriate patient documentation
- Respond to all client inquiries by email and/or calls, retrieving and returning messages
- Perform under pressure
- Handling incoming and outgoing mail, faxes and shipments (site specific)
- Process patients accounts receivable and payable (credit card, debit, cheque & cash payments) when required
- Ordering office and medical supplies, when required
- Complete third-party forms & letters when required
- Coverage for other administrators as required
- Perform any tasks and duties as assigned from time to time by management in a timely and accurate manner.
Requirements preferred, but not limited to:
- 2-4 years of Medical Office Experience and/or Medical Office Assistant Diploma
- Previous experience as a Medical Assistant (MA) is considered an asset
- Proficient knowledge of Insight software system is considered an asset
- Sound knowledge of medical terminology
- Good interpersonal and customer service skills with the goal of helping patients access services to improve their health
- Ability to multi task and prioritize in a fast-paced environment
- Superior time management skills
- Excellent attention to detail is required
- Good communication skills (both verbal and written)
- Good computer skills (MS Word, Excel, Outlook, etc.)
Job Types: Full-time, Part-time
Part-time hours: 30-40 per week
Salary: $17.00-$20.00 per hour
