Qualifications

Education:

  • Currently enrolled in or completed a post-secondary program related to Facilities Management

Experience:

  • Previous library or facilities experience is an asset.

Overall Purpose: This summer student position exists to support the Facilities Manager with research, and process design & implementation for a variety of facilities related projects.

Key Accountabilities:

  • Work with IT and other stakeholders to develop, plan and implement the data collection and documentation of process for an asset inventory tagging and monitoring system.
  • Assist with the development of procurement documents for capital projects and related project schedules for implementation; helps monitor progress of capital projects, communicates with vendors, and prepares project presentations for various stakeholders.
  • Participate in Capital budget planning, identification of priorities, and research for grant funding opportunities to support capital infrastructure needs.
  • Assist with the development of process and documentation for inventory and supply management.
  • Participate in research for delivery truck replacement, including gathering data from various stakeholders, consideration of carbon impact, and research for funding opportunities.
  • Help with the collection, analysis and monitoring of energy data to support a strategic goal for the reduction of the Library's carbon footprint.
  • Support other facilities staff with minor construction projects, ensuring clean and safe spaces, and system delivery.
  • Assist with administrative functions such as organization of files, drawings, contracts and facility data.
  • Perform additional position-related accountabilities assigned by management.

  • Professional office environment

  • Travel can be required to branch libraries or suppliers

Physical

  • Regular periods during which continuous physical exertion is required, e.g. walking, standing, climbing, lifting supplies, some of which may be heavy or awkward. Lifting or transferring up to 50 pounds

  • Periodic attention to detail, analysis of numbers
  • Minimal stress
  • Occasionally providing service to multiple people simultaneously

Working Hours

  • Typical shift is 8:30am to 4:30pm, Monday to Friday but is subject to change to include regular evening and weekend rotations.
