Company description

The office and accounting administrator is responsible for efficient and organized office operations at this small family owned and operated company that has been in operation for over 50 years. Galleon Marine Richmond is in a somewhat seasonal business with its busiest months being April through September.

Job description

This role is full-time, permanent working Tuesday to Saturday and will provide you with a rewarding, varied and valued opportunity to contribute to the continued success of the company. The specific accountabilities are:

Customer Service:

  • Partcipate in answering phone calls.
  • Greet customers as needed.
  • Develop and maintain relationships with vendors and suppliers.

Relationships:

  • Reports directly to the General Manager and Service Manager.
  • Maintains close working relationship with all employees.
  • Plans and organizes employee events and functions.

Responsibilities:

* Accounting software:

  • Working experience with QuickBooks software is required; and
  • Familiarity with Light Speed software is an asset; but not required

* Payroll:

  • Maintain commission, hourly and salaried employees’ payroll
  • Prepares timely payment of statutory deductions
  • Maintains all employment records, ROE etc.
  • Monitors payroll account balances

*Company Sales administration:

  • Handle funds, postings and bank deposits
  • Lien searches where directed
  • Vessel license, new and transfers
  • Warranty registrations
  • Rebate and extended warranty claims
  • Follow up letters

* Brokerage Sales administration:

  • Handle funds, postings and commissions
  • Lien searches where directed
  • Vessel license transfers

* Inventory, Accounts Payable and Receivable:

  • Receive and maintain major item inventory in Lightspeed and stock book
  • Track financed inventory and ensure all financed inventory is paid for before interest charges accrue.
  • Maintain payables and receivables
  • Prepare tax returns (GST and PST)
  • Maintain office supplies
  • Maintain visa statements
  • Reconcile all invoices to packing slips, ensure they are signed by person who placed the orders
  • Ensure all discounts and quantities are correct, payable done on time such that no overdue account situation arises
  • Till cash out and bank deposit preparation
  • Ensure till and credit cards receipts are balanced
  • Maintain petty cash
  • Monitor bank account balances to ensure sufficient funds are in place for payroll account and chequing account for payables
  • Month end and year end procedures
  • Participate in random inventory checks and year end inventory

* Housekeeping/Safety:

  • Keep desk and office area neat, clean and organized at all times
  • Contribute to ensuring that showroom, washrooms and display area are clean and presentable at all times; advise if any office or washroom supplies are required
  • Ensure the company meets the requirements of Worksafe BC, supports ownership in meeting these requirements

* Personal:

  • Maintain casual but professional attire and grooming according to dealership policy
  • Adhere to dealership policy regarding promptness and dependability
  • Maintain a pleasant and professional demeanor at all times

* Professional Development:

  • Actively participate in training programs as requested by management and required to fully fulfill the responsibilities of the position. Complete online training modules as directed.

Hours of work:

  • 9:00am-5:30pm Tuesday to Saturday or as scheduled. There will be no extended holiday scheduling between February 1 and September 15 due to the seasonal nature of the business.

  • Confidentiality must be maintained in relation to proprietary information, sales and customer information.

Effective Start Date: Immediate

Remuneration:

Remuneration will be commensurate with experience, extended medical and dental available for full time employees after 3 months of employment. Vacation is as per employment standards. The business typically closes for the December holiday period.
